Important Notes

  • Milan hotels charge a city tax ( EUR 5.0 per person per night) which has to be paid directly at hotels at the time of check-out.
  • Please make sure to download the telegram app before your travel starts, where driver details for all tours and transfers shall be shared.
  • The driver details for private airport transfers or train station transfers or tours shall be shared within 24 hours of scheduled time only on the telegram app.
  • On arrival in case you cannot locate your driver please call the service provider and give your complete name and confirmation number for them to guide you.
  • Any changes in pickup times in Europe for airport or train station transfers (private only) can be done only 24 hours before the scheduled pickup time. In case any change request is received within 24 hours, there will be 100% cancellation charges applicable and no refund shall be provided.
  • Most tours on sharing basis in Europe start from a common point in the city. Please make sure you reach the shared common point mentioned in the activity voucher at least 15 mins before the scheduled time.
  • In case you are delayed in reaching the common point, and the bus leaves for the tour, the tour is considered a no show and no refund shall be provided.
  • For tours and activities booked on private basis, the drivers arrive at specified time only and the maximum waiting time is only 10-15 mins.
  • Please note that we are not responsible for any delays (if any) in the vehicle for pick-ups or drops due to any un-avoidable conditions, like traffic, accidents, vehicle breakdown etc.
  • Please note that any trains confirmed as part of journeys exclude seat reservations and seat reservation charges. You are required to reserve your seat at least 24 hours before to avoid hassle in case the trains are running full.
  • In Europe you are required to manage and handle your luggage on your own. No porterage services are provided by us.
  • Venice hotels charge a city tax ( EUR 3.5 per person per night for 2 and 3 star hotels, EUR 4.5 per person per night for 4 star and EUR 5.0 per person per night for 5 star) which has to be paid directly at hotels at the time of check-out. This tax does not apply to children under 10 years of age
  • All Tours and Transfers in Venice depart from a common pickup point and you will have to reach the pickup point on your own (unless mentioned otherwise in inclusions)
  • We recommend that you contact the Ministry of Foreign Affairs and Trade or visit their website at www.safetravel.govt.nz for general travel advice, as well as specific advice (including safety alert levels) relating to the destination you wish to visit. You can also register your travel plans with SafeTravel, so that you may be more easily contacted in an emergency.
  • Health
  • It is your responsibility to ensure that you are aware of any health requirements for your travel destinations and to ensure that you carry all necessary vaccination documentation.
  • Travel Insurance
  • We strongly recommend that you take out a travel insurance policy at the time you pay for your travel.
  • You should ensure that such insurance is adequate to meet your potential requirements, including for medical expenses arising from sickness or injury during your travel, non-refundable items or loss or damage to your belongings and cover for activities like cruise, snow, adventure sports and high-risk activities. Please be aware that your travel insurance will be subject to strict limitations and conditions including a requirement for full disclosure of material facts including pre-existing medical conditions.

Terms and Conditions

  • Airline seats and hotel rooms are subject to availability at the time of confirmation.
  • There will be no refund for unused nights or early check-out (In case of Medical condition it completely depends on hotel policy).
  • There will be no refund for any unutilized services (meals, entrance fees, optional tours, hotels, transport and sightseeing etc) for any reason whatsoever.
  • Check-in and check-out times at hotels would be as per hotel policies. Early check-in or late check-out is subject to availability and may be chargeable by the hotel.
  • The price does not include expenses of personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees etc.
  • Country guidelines may change without notice, hence do check travel rules and your eligibility for travel on the regulatory website of the respective country/state, before booking your travel.
  • All prices are subject to availability and change and may be withdrawn without notice. All prices are guaranteed only when paid for in full by you. Price changes may occur by circumstances outside our control which increase the cost of the product or service. Such factors may include but not limited to adverse currency fluctuations, fuel surcharges, taxes and airfare increases.

Our Scope of Services

  • Agent
  • We act as an agent for and sell various travel related products as agent on behalf of, numerous transport, accommodation and other service providers, such as airlines, coach, rail and cruise line operators, as well as all of our wholesalers. Any services we provide to you are collateral to that agency relationship. Our obligation to you is to (and you expressly authorise us to) make travel bookings on your behalf and to arrange relevant contracts between you and travel service providers. We exercise care in the selection of reputable service providers, but we are not ourselves a provider of travel services and have no control over, or liability for, the services provided by third parties.
  • All bookings are made on your behalf subject to the terms and conditions, including conditions of carriage and limitations of liability, imposed by these service providers. 
  • We can provide you with copies of the relevant service provider terms and conditions on request.
  • Your legal rights in connection with the provision of travel services are against the specific provider and, except to the extent a problem is caused by fault on our part, are not against us. Specifically, if for any reason (excluding fault on our part) any travel service provider is unable to provide the services for which you have contracted, your rights are against that provider and not against us.
  • Liability
  • To the extent permitted by law, we do not accept any liability for any loss or damage, injury, delay, inconvenience, loss of enjoyment or expenses caused directly or indirectly, by acts, omissions or default, whether by negligence or otherwise, by any Principal or by any other event beyond our control, including, without limitation, strikes, accidents, pandemics or outbreaks of infectious diseases, quarantine restriction, public health decree, state of emergency, acts of war or terrorism, civil or military disturbances, acts of God or where not preventable by our reasonable diligence. Where our liability cannot be excluded and where our liability may be lawfully limited, then that liability will be limited to the remedies provided by law.
  • Passports & Visas
  • All travellers must have a valid passport for international travel and many countries require at least 6 months validity from the date of return and some countries require a machine-readable passport.
  • When assisting with an international travel booking, we will assume that all travellers on the booking have a valid New Zealand passport. If this is not the case, you must let us know. It is important that you ensure that you have valid passports, visas and re-entry permits which meet the requirements of immigration and other government authorities. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility (except to the extent caused by fault on our part).
  • If you need information regarding visas, passports and other travel document requirements for your trip, please let your consultant know. We can provide you with general information on visa and passport requirements that apply to international travel bookings you make with us.
  • Our consultants can also obtain more specific information from an external visa advisory service provider on your behalf (if you wish, we can assist you to obtain visas through this external service and fees will apply).  We do not warrant the accuracy of information provided by any external service and accept no liability for any loss or damage which you may suffer in reliance on it (except to the extent caused by fault on our part).
  • If you are travelling to the United States please see https://esta.cbp.dhs.gov/esta/ for important information regarding compulsory pre-registration for their visa waiver program (“ESTA”). New Zealand passport holders will not be able to enter the United States without a valid ESTA (or visa). Please note, you may not meet the eligibility requirements of ESTA and may be required to obtain a visa.

Hotel Cancellation Policy

  • Hotel cancellation will be as per the hotel cancellation policy. If the hotels are non-refundable, you will not get any refund for hotels in the event of cancellation.
  • Any transfers or activities included in the trip will be non-refundable if cancelled within 3 days of the travel start date, unless otherwise specified during the quotation stage in the "Points to Note" section. Some services handle different cancellation policies and they must be respected accordingly.
  • Entrance tickets of any kind are non-refundable from the moment of booking, unless specified otherwise
  • There will be also a service charge of 5% on total value in case of cancellation of Land and 5% on total value for any amendments.
  • Hotel room allocation will be subject to availability and will be on a first come first serve basis.
  • Any transfers or activities included in the trip will be non-refundable if cancelled within 3 days of the travel start date.

Payment Policies

  • You can pay using credit cards, debit cards or direct bank payment.
  • Fees will apply for these transactions and will vary from time to time.
  • There may be an increase in total package cost offered at the time of bookings in case the payments are not received in a timely manner. We do not accept liability for this.
  • We will never ask you to pay into a personal account. Please always pay using our website or in our company bank account.

Amendment of Booking by Guest

  • Any changes after booking for any reason may incur a change fee plus any supplier fees. Re-issue, amendment and upgrade conditions must be completed as per the terms and conditions of the relevant supplier. Changes are not always permitted once paid.
  • In addition to any supplier fees, amendment fees may also apply from the Travel Agent or Broker you are engaged with in the delivery of your trip.
  • There will be also a service charge of 5% on total value in case of cancellation of Hotel/Land and 2.5% on total value for amendments by Tripfactory.
